Auto-Assign (Round Robin) Action

The Auto-Assign action distributes cards across team members using round-robin or ratio-based algorithms. Perfect for fair workload distribution.

Distribution Modes

Even Distribution: Each team member gets cards in rotation.

  • Person A, Person B, Person C, Person A, Person B...

Ratio-Based Distribution: Assign based on custom ratios.

  • Person A: 50%, Person B: 30%, Person C: 20%

Configuration Options

Team Members: Select which users participate in auto-assignment.

Distribution Mode: Choose even or ratio-based.

Ratios (if applicable): Set percentage for each team member.

Notification: Send notification to assignee.

Email: Send email to assignee.

How Round-Robin Works

  1. System tracks last assigned user
  2. Next card goes to next user in rotation
  3. Skips unavailable users (if configured)
  4. Continues rotation indefinitely

Example: Even Distribution

Team: Alice, Bob, Carol

Card Assigned To
1 Alice
2 Bob
3 Carol
4 Alice
5 Bob
### Example: Ratio Distribution

Team ratios: Alice 50%, Bob 30%, Carol 20%

Over 10 cards:

  • Alice: ~5 cards
  • Bob: ~3 cards
  • Carol: ~2 cards

Configuration Example

Distribution: ratio
Team Members:
  - alice@company.com: 40%
  - bob@company.com: 40%
  - carol@company.com: 20%
Send Notification: Yes
Send Email: No

Use Cases

Lead distribution: Evenly distribute incoming leads across sales team.

Support tickets: Assign tickets based on team capacity ratios.

Task assignment: Balance project tasks across developers.

Review queue: Rotate review assignments for fairness.

Best Practices

  1. Match capacity: Use ratios for uneven workloads
  2. Include enough people: Avoid bottlenecks
  3. Monitor balance: Check distribution periodically
  4. Handle absences: Remove unavailable team members
  5. Notify always: Keep team informed of assignments
